What happens when a place, a camp booking or a session is cancelled, by you or by us.

Injury and illness
Fees are paused from the date our physio receives a medical note, and the player’s place is held for the length of the term. A player away for four weeks or more with a medical note may pause fees on any programme. Short absences are not refunded, because the coach and the court are booked either way.
Cancelled by the academy
Where a session is cancelled by us it is rescheduled within the same term. If it cannot be rescheduled, that session is credited against the next month’s fee. Ten of our twelve courts play year-round, so weather cancellations do not arise in practice.
Trials and assessments
Trial and assessment fees are refunded in full where we cancel or cannot offer an alternative date. Where you cancel with less than 48 hours’ notice, the fee is held as credit for a future date.
How to cancel
In writing to office@rowanhall.example, or on a cancellation form at the clubhouse desk. Notice runs from the date we receive it, not the date of the last session attended. We acknowledge every cancellation in writing within one working day — if you have not had one, assume we have not received it.
