How Rowan Hall collects, uses and stores personal data, including the names and ages of children given to us on trial, camp and membership forms.

What we collect
Data about children
A trial or camp form asks for a child’s name and age. That information is provided by a parent or guardian, who is the person we treat as giving consent, and it is used only to place the child in the right group and to keep them safe on court.
We do not use it for marketing, we do not share it with third parties for any commercial purpose, and we do not profile it. Photography and video are covered separately by our safeguarding policy and by an annual consent form.

How long we keep it
Coaching records are kept for the length of a player’s time at the academy and three years afterwards, so that a former player can request a reference or a scholarship file. Safeguarding records are kept for the period required by statutory guidance. Video analysis footage is deleted at the end of each season unless you ask us to retain it. Payment records are kept for six years for tax purposes.
Your rights
You may ask for a copy of the data we hold, ask us to correct it, ask us to delete it where we are not required to keep it, object to how we use it, or withdraw consent at any time. Write to privacy@rowanhall.example and we will respond within one month. If you are unhappy with our response you may complain to the Information Commissioner’s Office at ico.org.uk.
